1. Who this policy applies to
This policy applies to the public Zone IV 2026 website, including the competition-results pages and the restricted results-upload page. BSSA is responsible for the event website and the official competition information published through it.
Third-party websites and services have their own privacy terms. Their handling of information is described below where they form part of the website experience.
2. Information processed by the website
Technical and usage information
When a page or results file is requested, hosting, content-delivery and storage services may receive standard request information such as an IP address, browser and device type, requested URL, referring page, date and time, and error or security events. This information is used to deliver the site, maintain reliability and protect the service.
Appearance preference
If a visitor selects light or dark mode, that choice is stored in the visitor's browser under the key zone-iv-theme. It is used only to apply the selected appearance and can be removed by clearing the site's browser storage.
Offline competition results
Competition results a visitor opens may be stored in the browser's cache for offline access. Cached records can include athlete names, ages, teams, events, times, placings and records. They remain on the device until replaced, removed by an application update or cleared through the browser or device settings.
Searches and filters
Athlete searches and some competition filters may appear in the page URL. They are used to display the requested results and may be included in ordinary server logs or in a link that a visitor shares.
Competition information
Official results may contain an athlete's name, age, team, event, placing, time, competition status, disqualification reason and record information. Team totals and standings are also published. This information is supplied through the competition-results process and is made public to report and preserve the sporting record of the championships.
Restricted results uploads
Authorised users can submit a passcode and meet-results file to the results-processing service. The browser sends that information directly to the configured Azure endpoint. The website does not save the passcode in browser storage, but the receiving service may validate, process, quarantine and retain submitted records as required to publish the competition results.
3. How information is used
Information is processed to:
- provide event information and official competition results;
- operate search, filtering and appearance preferences;
- receive and process authorised meet-result submissions;
- maintain service availability, integrity and security;
- diagnose faults and prevent misuse; and
- meet applicable legal, safeguarding and record-keeping duties.
Where applicable law requires a legal basis, processing is carried out to provide the requested service, pursue the legitimate interests of administering and reporting the competition, comply with legal obligations, or on another basis communicated when the information is collected.
4. Cookies and similar storage
The website does not currently use advertising or analytics cookies. The appearance control uses browser local storage, and the installed application uses browser cache storage for application files and previously viewed results. These are not advertising cookies and can be removed by clearing the site's stored data. Infrastructure providers may use essential security or delivery technologies under their own service terms.
5. Service providers and external services
The website uses Microsoft Azure infrastructure for hosting, content delivery, public competition artifacts and results processing. These services process information needed to deliver requests and operate the results service.
The venue section includes a Google Maps embed. The map is loaded only when that section approaches the visitor's viewport. When it loads, Google may receive the visitor's IP address, device and request information and may use cookies or similar technologies under the Google Privacy Policy. Visitors can use the rest of the site without interacting with the map.
Links to other websites, including Google Maps and ITIQ, leave this website. BSSA is not responsible for the privacy practices of those third parties.
6. International processing
Hosting and service providers may process information in countries other than the visitor's own. Where required, reasonable measures will be used to protect information transferred across borders in accordance with applicable law.
7. Retention
Official results may be kept as a long-term public sporting record. Operational logs and uploaded files are retained only for the periods needed for security, service operation, result verification and applicable legal obligations, subject to the retention settings of the relevant service provider. A saved appearance preference and offline results remain in the visitor's browser until replaced or cleared; obsolete application caches are removed during updates.
8. Children and competition participants
The public site is intended for general audiences and does not offer public accounts or ask children to submit information directly. The competition record may include information about youth athletes. That information should be supplied and published only through the authorised event-entry and results process, with the permissions and safeguarding controls required by the event organiser and applicable law.
9. Security
Reasonable technical and organisational measures are used to protect information against unauthorised access, alteration, loss and disclosure. No online system can be guaranteed to be completely secure, and authorised upload users must keep passcodes confidential.
10. Privacy rights and questions
Depending on applicable law, a person may ask to access, correct or delete personal information, object to or restrict processing, or raise a concern with the relevant data-protection authority. Some official sporting records may need to be retained for accuracy, integrity or legal reasons even when a request is made.
Privacy questions and requests should be directed to BSSA through its published official contact channels. A request should identify the person and record concerned without including unnecessary sensitive information. Identity may need to be verified before a request is completed.
11. Changes to this policy
This policy may be updated when the website, results process or legal requirements change. The version published on this page is the version that applies. The website's use is also governed by the terms and conditions.
